Job Description Summary
Weekly expected schedule is Monday - Friday, 8am - 5pm with an hour lunch. This short-term/temp position is expected to go through 9/30/2025 with possible extension.
DEFINITION
Under general supervision of the Executive Director of Human Resources and Labor Relations, and the direct supervision of the Supervisor of Human Resources/Benefits/Payroll, assists professional Human Resources staff by performing a wide variety of complex clerical and technical support duties relative to all aspects of the Human Resources Department operation.
DISTINGUISHING CHARACTERISTICS
Incumbents serving in positions assigned to this class have, in the regular course of duties, access to, and may possess information relating to, the employer's employer/employee relations.
Under supervision, this position will perform diversified routine and multifaceted clerical and technical support duties involving independent judgment requiring in-depth knowledge of assigned functions and will receive direction from Human Resources staff with regard to their specific areas of responsibility when providing assistance.
Incumbents in this position support student learning outcomes and institutional effectiveness by serving as the Human Resources main point of contact for short-term, substitute, student and volunteer employment, office walk-in and phone traffic,. In addition, incumbents in this position assist other Human Resources Department staff with various job duties that provide support to the campus.
Essential Functions & Qualifications
ESSENTIAL FUNCTIONS
- Greets office and building visitors and answers telephone calls; directs calls and visitors to appropriate personnel; and takes messages as necessary;
- Assists in the day-to-day activities of the Human Resources office to assure efficient and effective office operations;
- Serves as an informational resource to employees, job applicants and the general public, including performing receptionist duties. Prepare a wide variety of office-related materials such as correspondence, reports which consist of retrieving, compiling, and organizing information and data, forms, applications, memos and other documents. Review, check, correct and compile a variety of information; verify data for accuracy, completeness and compliance with established procedures;
- Utilizes internal processes/systems to ensure responsibilities are completed by deadlines and verify accuracy;
- Assists with recruitment activities, including organization and maintenance of recruitment records, interview documents and may serve as Equal Employment Facilitator for interview sessions;
- Inputs employee information and other data, into an assigned computer system; establishes and maintains records and files; initiates queries and generates computerized reports and documents;
- Provides assistance with new employee orientation, candidate interview process, and employee TB and fingerprinting services. Respond to inquiries and provides a variety of detailed information to personnel, students, and the public concerning program or function services, policies and procedures;
- Assists with the preparation of open enrollment documents, mailing of insurance bills, data entry, along with creating files/folders when needed;
- Maintains District's Student and Short Term, Temporary and Substitute Employee hiring and tracking process;
- Collects, prepares and maintains a variety of documents, correspondence, logs, various records, policies, procedure manuals and other confidential information and/or data;
- Assists in the preparation of materials, scheduling and facilitating training workshops and meetings;
- Schedules appointments and conferences, maintain appointment calendar and make travel arrangements for the Executive Director of Human Resources and Labor Relations;
- Utilizes the District's integrated software in performing the required duties of the position;
- Prepares annual Open Purchase Orders for Vendors;
- Responsible for ordering and updating all labor law posters for all sites;
- Responsible for taking, typing and storing all minutes for department, not limited to staff meeting and Benefits Committee meeting minutes;
- Operates a variety of office equipment such as a computer, calculator, copy machine and scanning devices;
- Notifies appropriate departments with all employee phone and assignment updates; and
- Performs other related duties as required.
QUALIFICATIONS
Education:
Required
- Graduation from high school:
Preferred
- College-level course work in computer applications and business (office skills) courses.
Experience:
Required
- Two years of increasingly responsible clerical experience.
- Any equivalent combination of training and experience.
Preferred
- Experience working in human resources, community college, school district, or other educational agency.
Knowledge of:
- Methods, practices, terminology and procedures used in working with various employee groups of the College;
- Modern office practices, procedures and equipment;
- Record-keeping techniques;
- Office organization and file maintenance;
- Interpersonal and telephone skills usage tact, patience, courtesy and etiquette;
- Current technologies, personal computer, and associated office software such as word processing, spreadsheet, presentation, and/or database software;
- Correct usage of English, grammar, spelling, punctuation, and vocabulary; and
- District policies and procedures.
Ability to:
- Perform a variety of clerical duties related to the day-to-day functioning of the department;
- Communicate effectively both orally and in writing; Spanish preferred (eligible for bi-lingual stipend);
- Interpret, apply and explain rules, regulations, policies and procedures;
- Establish and maintain effective working relationships with others;
- Meet schedules and time lines;
- Be organized and thorough in assigned tasks;
- Prepare reports by gathering and organizing data from a variety of sources;
- Work confidentially with discretion;
- Work efficiently with many interruptions;
- Operate a variety of office equipment such as computer terminals, calculators, copiers and scanning devices;
- Make arrangements for meetings and conferences;
- Maintain a variety of files, records and logs;
- Plan and organize work;
- Establish and maintain cooperative working relationships with those contacted in the performance of duties; and
- Demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and of staff and students with physical and learning disabilities.
Physical ability to:
- Read and comprehend printed matter and text and data on computer monitors;
- Communicate intelligibly and effectively via speech, telephone, written correspondence, and/or email;
- Sit or stand for extended periods of time;
- Lift and/or carry 25 pounds; and
- Exert manual dexterity sufficient for keyboard and other office equipment operation.
License and Certificates (current within the last year):
Required
Valid driver's license and eligible to obtain California driver's license upon hire.
