Senior HR Administrator

Appointment Duration: One Year Fixed Term

JOB PURPOSE:
Under the general direction of the Senior HR Manager, the Sr. HR Administrator will provide human resources program oversight, support, and/or management to include planning, implementation, auditing, and reporting to meet established deadlines. This role will act as the first point of contact for most human resources inquiries. The Sr. HR Administrator will serve as a resource to staff and on human resources policies, procedures, and practices. CORE DUTIES*:
  • Interpret human resources policies, and provide advice on human resources processes, procedures and issues. Resolve issues as appropriate and consult with and make recommendations to management to resolve more complex issues.
  • Facilitate the recruitment process by providing advice to hiring managers on job postings, advertising/outreach, search committee composition, screening criteria, interview questions, reference checking and salary setting to ensure diverse and inclusive hiring practices. Conduct pre-screening, including sourcing and interviewing, to refer qualified applicants to hiring managers.
  • Guide managers in the process of selecting job descriptions, developing job postings. Assist with position reviews to determine the appropriate job classification.
  • Design and manage onboarding, training, and exit processes. Plan and implement employee recognition events and retention programs.
  • Manage HRIS data management activities, including PeopleSoft transactions. Monitor and audit personnel action reporting to ensure data integrity and compliance, and research and resolve pay issues.
  • Develop and maintain a variety of reports and queries. Analyze and monitor data to recommend and implement process and practice improvements.
  • Explain applicable workers' compensation, disability, leave policies and procedures. Manage appropriate documentation and generate related correspondence. May update reports to track leaves and maintain HRIS records.
  • Coordinate the communication and management of the annual performance appraisal and salary planning processes. Gather data and/or generate reports to support the performance appraisal and salary planning processes. Conduct analysis to determine salary inequities and provide recommendations to management.
  • Develop and deliver HR training to staff on HR policies, best practices, processes and procedures.
  • Lead business process improvement projects; create process maps and job aids; create and manage VPSA HR website content.
  • Act on behalf of manager for human resources matters in their absence.
  • Manage the process for staff appointments/reappointments and student appointments. Advise on documentation requirements, including how to revise documentation to ensure all university and legal requirements are met.
  • Support and/or implement compliance programs.
  • Conduct research in support of workplace investigations.

    To be successful in this position, you will bring:

  • Associate degree and four years of relevant experience, or a combination of education and relevant experience.
  • Demonstrated experience applying and interpreting human resources policies and procedures.
  • Demonstrated experience successfully managing programs and/or projects.
  • Extremely detail oriented. Must be able to maintain detailed records and accurately update the records on a timely basis.
  • Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion.
  • Ability to work independently, consistently follow through with projects and assignments, and meet deadlines.
  • Excellent oral and written communication skills to independently draft effective correspondence and documentation and conduct group training.
  • Demonstrated strong and effective interpersonal and customer service skills.
  • Strong analytical, critical thinking and problem solving skills.
  • Strong computer skills, including Microsoft Office suite (Outlook, Word, Excel, and PowerPoint).

  • Knowledge and understanding of the student experience in a University setting. Experience in a corporate or university environment desired.
  • Experience working in a fast-paced and high volume environment preferred.
  • Multicultural awareness and competence; ability to work in a diverse environment and serve constituents from a wide variety of backgrounds; students, employers, campus partners.
  • Proven ability to establish and maintain effective working relationships with a variety of internal and external constituents in a complex system.
  • Must be flexible to accommodate the daily changes in work flow, should be able to work in an environment with interruptions.
  • Must be skilled in human resource management systems, such as PeopleSoft and time/leave systems.

    PHYSICAL REQUIREMENTS*:

  • Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
  • Occasionally write by hand, twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, lift/carry/push/pull objects that weigh up to 10 pounds, sort/file paperwork.
  • Rarely kneel/crawl, operate foot and/or hand controls.
