Job Description
The VA Benefits Administrator assists military service members and their families through the many processes and procedures to obtain veteran and military education benefits to include: Veteran Education Benefits, Federal Tuition Assistance, & TN STRONG ACT Reimbursement.
Responsibilities
- Serves as the primary or secondary School Certifying Official (SCO) for Chapter benefit students in order to assist meeting DOD compliance recommendations on ration of 1 full-time SCO per 125 GI Bill students
- Fulfills SCO yearly training obligations to maintain certifying credentials with the VA
- Reviews and researches federal and state regulations, manuals, and guidelines to stay current on issues affecting veterans' education benefits
- Assists with identifying and on-boarding prospective student benefit questions and education benefit counseling
- Certifies students' enrollment in VA Enrollment Manager Portal and notifies the VA and students of changes
- Verifies with Advising on course accuracy and approves degree program, course equivalency, and appeal forms
- Reviews student billing information with student and with retrospective military/veteran entity/portal
- Validates the tuition amount to be certified with DOD/VA entity/portal to avoid overpayment of funds
- Assists with maintaining records of VA students, including certification records, degree plans, transcripts, VA applications, and certificates of eligibility
- Guides and advises students on how to successfully utilize their educational benefits by explaining the impacts of withdrawal, grades, veteran SAP, graduation, prior education evaluations, etc.
- Monitors student in-state rates are provided and students qualifying under TN VETS Act and DOD regulatory agreements are being met
- Develops and implements written student registration guides for assistance with student military benefit program use
- Maintains and reviews Military Tuition Assistance portals for accuracy of student funding reporting such as with accounts, records, & files
- Assists in reviewing student billing ledgers and incoming payment logs for the purpose of student retention and deferment
- Serves as a Point of Contact for TN STRONG ACT, VA, and Military Branches to include partners for programming and compliance
- Manages payments for student tuition and fees
- Assists Bursars Office and Financial Aid to issue refunds or VA education benefit overpayment's
- Maintains an active database and monitors student success
- Provides transition support and retention initiatives to veteran students and monitors results
- Coordinates with ROTC Programs
- Acts as intake for student packet, course data, registration forms, and various form acquisition based on type of assistance
- Digitizes documents to virtual files
- Assists with departmental periodic compliance surveys to ensure that school and student records comply with applicable laws
- Manually assists with the input of student per course/term of student records into military portals (grades, course data, program data, etc.)
- Reviews and submits TN STRONG ACT Reimbursement packets for the State of Tennessee National Guard TN Strong Act program
- Reviews student billing ledgers and incoming payment logs
- Assists with coordinating veteran programs and services on campus
- Under the direction of the Associate Director, assists with gathering documents for State Approving Agency (SAA) report of changes to school programs, policies, personnel, and documentation
- Assists with maintaining departmental calendar and schedules
- Assists under the direction of the Associate Director in the management of program inventory
- Assists with/and in the absence of other office staff as needed
- Other duties as assigned
The ideal candidate will possess the following:

- Experience with Banner Systems or similar education software
- Understanding of military tuition assistance programs and veteran benefits
The review of applications will begin July 22, 2025, and will continue until the position is filled.
Anticipated Salary $19.24/hr
Qualifications
Minimum: Requires a high school diploma and four years of relevant experience, or an equivalent combination of training and experience.
Preferred: An advanced degree and a minimum of 1 year or more of related experience in a office setting within higher education is preferred.
