Job Description:


Administrative Assistant I, The Office of Human Resources Payroll, and Compliance

Grade 15, Non-unit classified position

Danvers Campus, 37.5 hours/week

GENERAL STATEMENT OF DUTIES:

Provide administrative support to the Office of Human Resources, Payroll, and Compliance. Serve as the initial contact in the Office of Human Resources, Payroll, and Compliance. responding to employee and applicant inquiries. Provide administrative support to the Assistant Vice President of Human Resources, Payroll, and Compliance. Assist in special projects, organizing meetings, training sessions, and events. Will be responsible for maintaining personnel records and filing.

DUTIES AND RESPONSIBILITIES:
  1. Provide administrative support to the Vice President of Human Resources, Payroll, and Compliance, including managing calendars and scheduling appointments;
  2. Provide support to the Human Resources, Payroll, and Compliance team;
  3. Assist with the day-to-day operation of The Office of Human Resources, Payroll, and Compliance functions including completion of hiring paperwork (I-9 forms, employment application, CORI, etc.), ordering supplies, processing purchase orders, answering phones, etc.;
  4. Monitor and respond to designated HR email inquiries;
  5. Maintain and track information including confidential material;
  6. Coordinate meetings, travel and other events (i.e., room reservation, food order, supplies, etc.);
  7. Develop and maintain files, records, and databases including digital scanning and indexing of files;
  8. Assist in processing employment verifications;
  9. Assist search committee chairs with setting up interviews;
  10. Serve as the backup to CORI administrator;
  11. Receive and process ingoing and outgoing mail;
  12. Ensure main Human Resources, Payroll, and Compliance Office is staffed during business hours.
  13. Maintains departmental intranet page (Mynorthshore.edu); and
  14. Performs other related duties as needed.

SUPERVISION RECEIVED: Reports to the Assistant Vice President of Human Resources, Payroll, and Compliance


Requirements:


  • A minimum of two years of administrative assistant experience, preferably in a Human Resources or related position.
  • Prior customer service experience required.
  • Proficiency with Microsoft Office Suite required.
  • Strong organizational skills required.
  • Excellent verbal and written communication skills required.
  • Ability to manage time effectively and prioritize tasks required.
  • Successful experience interacting with culturally diverse populations required.
  • Candidates will be required to pass a CORI/SORI and/or National background check as a condition of employment.

PREFERRED:
  • Multilingual preferred.
  • Related experience in handling confidential information and materials.
  • Previous experience in a higher education setting.
