Job Description:


The Human Resources Coordinator reports to the Assistant Director of Human Resources for Employment. A member of the Employment Team of HR staff that supports the recruitment and onboarding of new hires and is responsible for personnel data changes, records management, worktime & leave administration, and other staffing-related needs.

Primary responsibilities include HRIS (PeopleSoft) data entry and personnel file maintenance for Faculty, Staff, and Student Employees. This includes the administration required for new hires, transfers, promotions, leaves of absence, pay rate changes, and terminations. This role regularly interfaces with staff responsible for payroll, employment, unemployment claims, compensation, HRIS, and benefits in order to ensure personnel data changes are entered and processed in a timely and accurate manner, backed up with appropriate documentation that is confidentially maintained in personnel files.

Major Areas of Responsibility
  • Accurately completes payroll change notice forms required to: 1) establish new employees on the payroll and 2) administer status changes such as promotions, transfers, leaves of absence, and terminations. Circulates forms for signature approval, performs data entry as required, and distributes forms to Payroll for processing.
  • Ensure the integrity of data entry via validation and audit of information by multiple sources such as the employee, the supervisor, the hiring manager and/or hiring department, and referencing policies and procedures as appropriate.
  • Maintain electronic (scanned) personnel files for all employees. Review records to verify data such as date of hire, contact information, date of birth, job title, work schedules, department and job codes.
  • Execute and review all student termination activities to ensure accurate processing and records integrity.
  • Administer and track completion of 30/60/90 day performance reviews for new hire hourly staff.
  • Ensure performance appraisals for non-faculty staff are maintained in personnel files. Identify appraisals that have not been submitted by department leaders and submit to HR leadership so they may follow up as appropriate.
  • Maintain newly-created job descriptions and updates to existing job descriptions in centralized data base
  • Initiate and review Background Checks for approval and entry of data into software system.
  • Triage employment phone calls, responding to general inquiries or directing to appropriate staff.
  • Administer athletics seasonal employment and banquet employment hiring processes.
  • Administer HR data entry for student employment.
  • Manage basic employment life-cycle functions including promotions and transfers, salary adjustments, counseling & discipline, end of employment
  • Performs other duties as assigned.



Requirements:


  • Associates Degree or equivalent Human Resources experience
  • Two or more years of experience in data entry/recordkeeping.
  • Prefer prior experience in human resources, accounting, or finance.
  • Excellent organizational skills with attention to detail and accuracy.
  • Excellent data entry skills.
  • Strong interpersonal and customer service skills; effectively communicates and collaborates with staff at all levels
  • Proficiency in business software, including Microsoft office suite and Google Suite.
  • Must be able to discretely maintain confidential information.
  • Must be able to perform work that requires prolonged periods of sitting at a desk and working at computer.
  • PeopleSoft or other HRIS system experience a plus.
