Position Summary
(Classified as: Confidential Administrative Support, PSL I)

Full-time temporary position available on or after July 5, 2022 and ending on or before January 6, 2023 in Human Resources. (Appointment will be made for 6 months plus one day from date of hire with the possibility of reappointment and/or becoming permanent based on budget, department needs, and job performance.)

Under general supervision of the Organizational Development & Programs Manager, this position provides implementation and project support for the Common Human Resources System (CHRS) project, with specific emphasis and responsibilities in the areas of business process documentation, training administration and development and overall HRM program support. This position will work collaboratively with project core team members from Information Technology, Faculty Affairs, Budget and Human Resources to provide CHRS implementation support. This position performs work of a confidential nature in support of developing training materials and guides in accordance with collective bargaining agreements.

Job Duties
Duties include but are not limited to:
  • Serve in multiple roles in support of the CHRS project and other HRM related projects including, but not limited to, administrative coordinator, project coordinator, and training coordinator.
  • Supports the preparation, coordination and administration of trainings, meetings, creation of guides and training materials, and campus presentations.
  • Document business processes and procedures.
  • Support change management activities, including communications.
  • Support testing cycle by serving as the lead in troubleshooting issues that arise by the testers; handoff issues to the appropriate person/group for resolution; complete system and module testing on any assigned test scripts; ensure testing system is kept current with testing statuses.
  • Submit, track and monitor ServiceNow incident tickets.
  • Track and monitor the status of project change control requests.
  • Participate and assist in scheduling project related meetings and events; prepare agendas, record minutes, track and report action items, assist in the preparation of presentations.
  • Assist in developing and/or participate in the creation of campus training guides and materials (presentations, cheat sheets, video tutorials, etc.).
  • Schedule and coordinate training sessions for end user implementation and ongoing as needed.
  • Support and assist with implementation and conversion activities, including the correction of conversion data errors.
  • Assist with PeopleSoft data cleanup, as needed.
  • CHRS customer service/follow-up support; answer questions and troubleshoot issues as they arise.
  • Assist with the creation of CHRS website content; post and keep content, training information, and materials current.
  • Participate in CHRS related workgroup status calls.
  • Other duties that support the overall CHRS and HRM projects.
  • Various duties as assigned in relation to the support of CHRS and the HR unit.

    Minimum Qualifications
    Education: Bachelor's degree from an accredited college or university in business, public administration or a related field.
    Experience: Full-time equivalent of two years directly related work experience, which has provided exposure to systems administration, project management support and implementation.

    Preferred Qualifications

  • Working knowledge of CSU employment policies and procedures.
  • Full-time equivalence of two years or more of HR experience in a public sector/higher education human resources environment.
  • Experience with utilizing an Application Tracking System (ATS) and an HRIS system/database in some capacity (data administrator or coordinator, etc.).
  • Experience in project management support.
  • Functional knowledge of Oracle/PeopleSoft HCM.
  • Excellent written and verbal communication skills.
  • Excellent organizational skills.
  • Strong interpersonal skills to work effectively with a wide variety of stakeholders.
  • Ability to multitask and offer support with quick turnaround due to tight deadlines developed by the system wide project management team.
  • Proficiency and understanding of software programs: Word, Excel (Advanced user), Power Point and/or possess the ability to quickly learn new technologies.

  • Ability to analyze and find solutions to problems, work independently, communicate effectively, and write clear and concise reports.
  • Ability to exercise personal initiative and independent judgment within the scope of the assigned duties.
  • Ability to understand and apply the principles, concepts, and work processes, laws, rules and union contract materials pertinent to the professional operations of a HR office; ability to gather and analyze data.
  • Ability to reason logically and make appropriate recommendations, carry out recommendations thru to implementation.
  • Ability to handle highly sensitive materials and situations, to include confidential files; ability to maintain strict confidentiality and to exercise complete discretion, diplomacy, and good judgment.
  • Ability to analyze data and make accurate projections.
  • Demonstrated ability to maintain composure and tact during high stress situations and under heavy workload, with conflicting priorities, frequent interruptions, and other demands;
  • Demonstrated ability to initiate necessary actions, remain flexible, coordinate many activities simultaneously, and handle requests expeditiously using appropriate, mature judgment.
  • Demonstrated ability to draft and compose written correspondence and reports with thorough knowledge of English grammar, punctuation, and spelling, as well as good proofreading and editing skills.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
  • Demonstrated ability to pay close attention to detail and identify, trace and correct errors.

    Salary Range
    Anticipated salary will be $4,058 - $4,464 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full range: $4,058 - $6,922 per month)
